Set the counting rule

The important unit may be one item, one case or one pack. Set the unit before tapping and keep damaged stock outside the sellable quantity.

Put the rule into practice

WORKED EXAMPLE

A shelf marked BLUE-MUG-01 may contain 34 sellable mugs and two damaged ones recorded separately.

Steps for a reliable tally

  1. Freeze or document stock movement during the count.
  2. Label a counter with the SKU and shelf, inspect every unit, then save the result before updating the system.
  3. After the count, compare the result with the matching SKU and location record.
  4. Recount a surprising difference before editing the inventory ledger.

Why this detail matters

Never assume an unopened carton contains its printed quantity if the count must verify actual units. Either open and inspect it or state that the cartons were counted as sealed packs. A useful result includes item, location, unit, condition, counter's name and count time so another person can reproduce the check.

On the shelf

A handwritten or digital tally should not be the only place where unit definitions live. Add “single units,” “sealed cases of twelve,” or another clear label to the count record. If you counted a mixed shelf, split it before recording the result. A counter with the name “Mugs” cannot safely reconcile several colors or sizes.

What can go wrong?

A tally is evidence of a physical check; it is not itself a full inventory ledger.
