Set the counting rule

Ticket scans can verify admissions, but they may miss staff, children or people who enter without a ticket. Decide whether those groups belong in the event total before doors open.

Put the rule into practice

WORKED EXAMPLE

At a school fair, 146 arrivals and 29 departures mean 117 people currently inside, assuming the venue began empty.

Steps for a reliable tally

  1. Mark an invisible line at the doorway.
  2. An arrival counts only after both feet cross it.
  3. Give each entrance its own named counter, and reconcile the totals at each handoff.
  4. At each interval, compare the summed doorway counts with any independent scan report.
  5. Investigate a gap at the entrance where it arose rather than changing the grand total without a note.

Why this detail matters

Use timed checkpoints when an event lasts hours. A morning arrival total answers a different question from the peak number inside. Put both figures in your report if space planning and attendance are both important. If a door was unobserved for a period, mark that period as incomplete instead of filling it with zeroes.

At the venue

Before the first guest arrives, walk every route that could lead into the counted area. Put the observer where the boundary is obvious, and give a second person the side gate if it cannot be watched from the main door. Save entry and exit totals at intervals, not only at closing. Those checkpoints help locate a missed burst without rewriting the whole day.

What can go wrong?

If a guest walks in and out, they affect both flow totals but only the difference changes current occupancy.
