Set the counting rule
A global item total hides where the item is. Location-level counts help find misplaced stock and reduce double counting during a handoff.
Put the rule into practice
Five cartons in back stock and eight on display equal 13 only after both areas are frozen or movement is logged.

Steps for a reliable tally
- Use the SKU plus location as the counter name.
- Mark a shelf complete so the second pass does not include it.
- Reconcile the location totals before posting the overall item quantity.
- Walk the area once after counting and check each labeled shelf against the location list.
- A missed back-room bin can distort the combined result.
Why this detail matters
Summing location totals too early can hide a misplaced carton. If the system expects ten in the back room and three on display, a physical total of thirteen is still not a complete location match when the actual split is reversed. Resolve the location difference before declaring the record accurate.
On the shelf
When two locations have the same SKU, keep their totals separate in the export file. If a later move occurs, the transfer should update both locations in the stock system. An overall sum is useful for purchasing, but the location totals are what help staff find the stock.
What can go wrong?
Moving stock between shelves mid-count can create a duplicate or missing unit.
