Set the counting rule
A discrepancy may come from a wrong unit of measure, a misplaced unit or a timing gap between transactions and the count. Recounting is only the first diagnostic step.
Put the rule into practice
If the ledger says 50 but the shelf has 46, look for four units in returns or another location.

Steps for a reliable tally
- Compare the physical count with the correct SKU and unit of measure.
- Review receipts, returns and transfers near the count time; repeat the count with another person for a large difference.
- Write the system quantity, physical quantity, time and any movement reviewed.
- This creates evidence for the later adjustment or investigation.
Why this detail matters
A small difference can still reveal a repeatable problem. A large difference deserves an independent second count before adjustment. Compare the same date, location, SKU and unit in both records. If receipts were posted after the shelf count, the apparent shortage may be timing rather than missing stock.
On the shelf
Look for a directional clue: too much stock might reflect an unposted receipt; too little might reflect a sale or transfer posted late. This is a hypothesis to check against transaction records, not a reason to alter the physical count. Preserve the first tally and the recount separately so their difference is visible.
What can go wrong?
Silently changing the system quantity removes the chance to find a recurring process error.
